Overview
HuboWeb Technologies (Private) Limited values customer satisfaction and transparency. This policy explains the conditions and procedures for refunds and cancellations of our AI automation services, custom AI solutions, and related digital services. Please read this policy carefully before making any purchase or signing a service agreement.
Eligibility for Refund
You may be eligible for a refund under the following circumstances:
- The project has not yet entered the active development or implementation phase
- There is a significant delay beyond the agreed-upon timeline that is solely attributable to HuboWeb
- The final delivered AI automation solution significantly deviates from the approved scope of work or agreement
- A critical technical issue prevents the service from functioning as promised, and we are unable to resolve it within a reasonable timeframe
- Duplicate payments or billing errors caused by our system
Non-Refundable Situations
Refunds will NOT be issued in the following cases:
- Work has already started, AI models have been trained, or resources have been allocated to your project
- Delays caused by the client in providing necessary assets, information, data, API access, or approvals
- Third-party service costs, including cloud hosting, AI API usage fees (OpenAI, Anthropic, Google, etc.), domain registrations, software licenses, and integrations
- Projects that have been approved, delivered, and accepted by the client
- Custom AI models, chatbots, or automation workflows that have been deployed to production
- Change of mind after work has commenced
- Monthly subscription fees for completed billing cycles
- Consultation, discovery, and strategy session fees
- Services that have already been consumed or used
Refund Processing Timeline
Once a refund request is approved, the refund will be processed within 7 to 10 business days using the original payment method. Please note:
- Bank processing times may add additional days depending on your financial institution
- Transaction charges, payment gateway fees, and currency conversion costs (if applicable) will be deducted from the refund amount
- Refunds for international payments may take up to 14 business days due to cross-border banking procedures
Cancellation Policy
Before Project Initiation: Cancellations requested before the project officially begins may qualify for a full refund, minus any consultation fees or non-refundable deposits.
After Project Initiation: Once work has commenced, partial refunds may be considered based on the percentage of work completed. The client will be billed for all completed milestones, hours worked, and resources used up to the cancellation date.
Subscription-Based Services: For monthly or annual AI automation subscriptions, you may cancel at any time. Cancellation will take effect at the end of the current billing cycle. No refunds will be issued for the unused portion of the current cycle.
Custom AI Development Projects: For custom AI automation projects, cancellation terms will follow the signed service agreement. Milestone-based payments are generally non-refundable once the milestone has been completed and accepted.
How to Request a Refund
To request a refund or cancellation, please follow these steps:
- Send a written request to info@huboweb.com with the subject line “Refund Request”
- Include your invoice number, project details, and reason for the request
- Attach any supporting documentation if applicable
- Our team will acknowledge your request within 48 hours
- We may schedule a call to discuss the issue and explore possible resolutions before processing the refund
Response Time
All refund requests are reviewed within 48 hours of submission, and clients will be notified of the decision via email. Complex cases involving custom development work may require additional review time, up to 5 business days.
Dispute Resolution
We strive to resolve all refund disputes amicably and professionally. If you are not satisfied with our decision:
- Request a review by submitting additional documentation
- Schedule a meeting with our project management team
- Escalate the matter to senior management for final review
We encourage open communication to find fair solutions that work for both parties.
Service Credits
In certain situations where a full refund is not applicable, HuboWeb may offer service credits that can be applied toward future projects, additional features, or extended support periods. Service credits are valid for 12 months from the date of issue.
